Grizedale Mountain Bikes Ltd which includes Velo Ulverston and velobikes.co.uk is committed to the Privacy and online safety of all our staff and customers.  In this document we/us/our refers to any one of the businesses within the company Grizedale Mountain Bikes Ltd.  You/your relates to you as a customer or member of staff.

This document outlines how we use, collect and process your data.  It also explains any other websites that collect your data on our behalf and links to their privacy websites.  We have also put together a Cookie Policy for those using our website.

If you disagree with any of the practices described in this policy, you should take the necessary steps to remove cookies from your computer, and discontinue using our services.

As a company, we have various aspects to the business which require different pieces of information from our staff and customers.  Each is collected, reviewed, stored and managed in different ways.

  1. Why do we collect data?

 As a business we collect details for different reasons.  Mostly it is because we need the information to allow a transaction to go smoothly, such as hire customer details and signature, or staff payment details.  Occasionally we retain information which we feel might be of use if we are involved in a legal matter.  We also collect email addresses, this information is used to send emailed receipts to customers and if customers have opted in, marketing material.

  1. Who is Collecting the data and how is it being collected?

The data we collect is collected in a variety of ways, by different companies, depending on the reason that you are using our services.

  1. Emails – We receive details of your email address either by you contacting us via the “contact us” pages on our websites, or when you email one of our emails directly. We do not save your email address in an address book, and emails are only kept for “as long as is necessary”, to process your query, enquiry or problem: unless you give us your consent to contact you again in the future.

We might also receive your email address through importing your address from one of the services we use for online purchases, please follow the links to find their privacy policies.  We use MailChimp as an email template, where your email address might also be stored.  Their Privacy Policy can be found at https://mailchimp.com/legal/privacy/

We will not contact you without your permission, and you are welcome to withdraw your consent at any time.  Please email sales@velobikes.co.uk if you wish to be forgotten from our system.

  1. Shop accounts and workshop jobs – You can create a shop account either via the website, or instore, you must opt in to do this.   2. Pre-booked online bike hire – Details are stored on our online system designed and run by HardyFinch, and our payment gateway of Stripe. You can find their privacy policies at the below addresses…

  3. “Walk in” bike hire – we use a paper based method of data collection
  4. CCTV – Is in all our shops, and data is collected from both inside and outside the shops.

We and our service providers use Personal Data to: (i) provide the Services; (ii) detect and prevent fraud; (iii) mitigate financial loss or other harm to Users, Customers, and Grizedale Mountain Bikes Ltd; and (iv) promote, analyse and improve our products, systems, and tools.

We use reasonable organisational, technical and administrative measures to protect Personal Data within our organization. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure.  If you have any reason to believe your data has been compromised please contact us immediately and we will help to resolve the matter.

 We occasionally wish to use your email address to send marketing material.  You must opt in at the point of giving us your email address for us to do this.  If at any point you change your preference with regard to marketing emails, please let us know and we will update our records.  We will never send marketing direct through the post to individuals.  We might occasionally send marketing material to businesses via post.

  1. Choice and Access.

You have a right to view, edit and delete your information stored by the company, unless we have a legal obligation to retain it (such as for first aid incidents).  If you wish to view, alter or delete your information with us, please send us an email stating what you wish to amend, and we will endeavour to follow up on your request “without undue delay”.

First party cookies: these are our own cookies, controlled by us and used to provide information about usage of our site.
